As part of my volunteer efforts to help support our state’s long-term rental housing industry, I am excited to announce I will be serving as board president of the Pacific Housing Association.  

Our 501(c)6 non-profit is the newest affiliate of the National Apartment Association, partner of the Affordable Housing Management Association of Northern California/Hawaiʻi, and is our state’s first and only rental housing provider resource for market rate, affordable, workforce, student, military, multi-family, and single-family rentals.

►SUMMARY:

Oversees all Multi-Family Properties managed by Phillips Real Estate Services and the Portfolio Managers who manage them to ensure the client is receiving top-quality management services.  Interacts with other Directors and upper management staff to execute new projects and enhance overall operations.  Monitors and directs all activities of Multi-Family Portfolio Managers, their assistants, and on-site staff.

►BUSINESS DEVELOPMENT & ACCOUNT RETENTION:

•	Oversees all professional management duties of the multi-family staff.

•	Reviews monthly financial statements, status reports, and their distributions to owners.

•	Develops and executes an annual management plan to increase Phillips’ market share.

•	Visits sites regularly to ensure condition and curb appeal meet client and Phillips’ expectations.

•	Retains current clients through regular communication with owners, on-site personnel, vendors, and Phillips’ staff.

►TRAINING & EMPLOYEE SKILLS ENHANCEMENT:

•	Controls, coordinates, and measures all work of Portfolio Managers.

•	Works with the Human Resources Director in interviewing, screening, hiring, and training new Portfolio Managers, assistants, and on-site staff.

•	Establishes the standards of customer service and departmental best practices.

•	Receives ongoing training; keeps current on real estate industry regulations; and enhances networking through industry seminars, community meetings, and professional associations.

•	Oversees financial, administrative, and physical plant maintenance issues.

•	Establishes and coordinates policies and procedures with accounting and administrative staff to improve overall workflow.

►SUMMARY:

Strategic managerial oversight responsibility of 17 apartment communities, totaling 1,919 units throughout King and Pierce County in Washington State; individual property unit counts range from 24 to 300 apartment homes.  

►PERSONNEL MANAGEMENT:

•	Analyze and evaluate on-site personnel needs throughout the region, including management, leasing and maintenance personnel. Serve as final authority for hiring decisions.

►SITE INSPECTIONS:

•	Personally inspect each property in the region on a regular basis, assuring marketability of the community, both interior and exterior.

►POLICY AND PROCEDURE ADMINISTRATION:

•	Ensure compliance with policies on recruiting, screening and hiring applicants.

•	Confer with the Designated Broker in advance on all costs in excess of budgets and Asset Business Plan.

►FINANCIAL PERFORMANCE:

•	Counsel with and advise Community Managers regarding property management income, expenses, and collections.

•	Review and appraise every detail of the monthly Cash Flow Operating Reports, analyze areas for increasing income and reducing costs.

►LIABILITY MANAGEMEMENT:

•	Assist with policy compliance to limit exposure to lawsuits by arranging for proper training and ongoing education for all personnel.

•	Ensure adherence to government regulation and policy regarding sensitive issues including Fair Housing, Equal Employment Opportunity, Americans with Disabilities Act, and Occupational Safety and Health Act (OSHA).

►BUSINESS MANAGEMENT:

•	Analyze monthly performance and budget projections to actual business plan adjust operating strategy accordingly.

►RELATIONSHIP SALES: 

•	Take inquiry calls from all potential students interested in knowing or receiving information about the programs—including entrance requirements, curricula, and academic standards and encourage qualified prospects to schedule an appointment for an interview. 

•	Return web inquiries and calls promptly to all potential students and give accurate information about the programs, including entrance requirements, curricula, and academic standards. 

•	Make outbound phone calls to potential students who have expressed interest in attending the institution. Outbound calling efforts are a key component of this role.

•	Meet with the potential students to explain the program offering and match the college’s benefits and advantages to the student’s needs. Discuss and advise suitable programs in accordance with the student’s desires, qualifications, and objectives. 

•	Make all efforts to ensure that admissions management meets with the potential student and is well informed about the student’s motivations and concerns about attending college.

•	Secure new resident’s signature(s) on appropriate paperwork prior to move-in. Orient new residents to community.

•	Assist in monitoring renewals. Distribute and follow-up on renewal notices.

•	Monitor advertising effectiveness.  Gather information about market competition in the area and file.

►ADMINISTRATIVE:

•	Accept rental payments and give immediately to Assistant Community Manager.

•	Distribute all company or community-issued notices.

•	Maintain accurate monthly commission records on leases and renewals for bonus purposes.

►CUSTOMER SERVICE:

•	Receive all telephone calls and in-person visits. Listen to resident requests, concerns and comments.

•	Ensure all maintenance repairs are handled satisfactorily by contacting residents with completed Service Requests on a weekly basis.

•	Assist in planning resident functions. Attend functions and participate as host for any functions as directed by the Community Manager.
