Provide a full range of support to the Executive Director to ensure their day to day business is planned and prepared fully. In charge of diary management, briefing preparation, confidential emails/reports and correspondence.

Responsible for the management of the Executive Director's complex internal diary activity including mapping out review and reflection time.
Deal with all aspects relating to meetings including research and collating the appropriate information, room bookings, diary invites, provision of refreshments/lunch (as required)
Responsible for arranging/booking all travel arrangements including the booking of hotels, trains and flights, providing concise journey planners for the Executive Director.
Ensure the ‘Brought Forward’ system is run efficiently and all documents are given to the Executive Director in good time.
To process Executive Director expenses on a monthly basis in a timely manner and following the Expenses Policy.
Raise purchase orders and process invoices as required. Process payments made using a procurement card.
Answer all telephone calls, including complaints from tenants in a sensitive and customer focused manner, passing onto the relevant department for action.
Project a positive and professional image of the Executive Director, the office and Circle Housing Group ensuring the Customer and People at the Heart ethos is adhered to. General assistance to the Executive Director, developing an overall knowledge of their activities to ensure that all matters are dealt with appropriately and in good time.

Personal Assistant to Executive Director of Finance

Overview: To ensure effective support for the Special Advisers (SpAds) in the areas in which they are responsible. 

Manage and maintain three senior official dairies at the same time.
Filter emails in accordance to importance, ensure busy diary commitments, papers and travel arrangements are managed effectively including producing a daily folder with diary, necessary papers and troubleshooting problems. 
Conduct weekly diary meetings with the SpAds to discuss upcoming engagements, invitations and other requests.
Schedule on behalf of the SpAds meetings between themselves and committees or groups to which they are a member of or have direct interest in.
Coordinate travel and accommodation requirements in connection with others and ensure arrangements in place for the SpAds that match their requirements.
Filter general information, queries, phone calls and invitations to the SpAds by redirecting or taking forward such contact as appropriate. 
Manage the process of calling for briefing on behalf of the SpAds from start to finish to ensure that they are fully prepared for all engagements.
Keep and maintain an accurate record of papers and electronic correspondence on behalf of the SpAds. 
Prepare correspondence on behalf of the SpAds, including the drafting of general replies, minuting meetings as required and complete research on behalf of the SpAds.

Foreign and Commonwealth Office

Assistant Private Secretary to the Foreign Secretary (Rt hon William Hague)

Overview: Worked closely with the First Secretary of State for Foreign and Commonwealth Affairs, the Rt. hon William Jefferson Hague to plan, organise and execute all Foreign Secretary overseas visits. 

Being the first point of contact regarding logistical arrangements including obtaining visas and transportation arrangements. 
Produce comprehensive guides for overseas posts enabling them to understand the requirements of a high profile visit by the Foreign Secretary. 
Draft responses to Freedom Of Information requests and Parliamentary Questions from members of the public or Members of Parliament on behalf of the Foreign Secretary. 
Collate visits feedback from overseas posts following each visit by the Foreign Secretary to enable the wider office to understand the positives/negatives and ways to improve procedures in the future. 
Liaise closely with external stakeholder such as the Metropolitan Police Service and other government departments including the Security Service. 
Handling case sensitive/confidential material with care at all times in conjunction with security agencies.

Visits Officer to the Foreign Secretary (Rt hon William Hague MP)

Overview: Worked closely with the former Foreign Secretary the Rt Hon David Miliband under the former Labour government. 

Dealing with processing incoming and outgoing correspondence, distributing incoming mail and managing the public enquiry mailbox. 
Process all incoming Parliamentary Questions for sign off by the Private Secretaries and co-ordinate responses for any Parliamentary Questions relating to the Foreign Secretary’s Office. Process requisitions, purchase orders and payments, Administer the Foreign Secretary’s gifts, including ordering gifts, maintaining gift inventory and being first point of contact for enquiries regarding gift policy. 
Management of the gifts budget, Provide ad-hoc administrative support to the Foreign Secretary, e.g. delivering papers to the House of Commons and elsewhere in Whitehall, Prepared and drafted briefing/minute taking.

Section Clerk to the Foreign Secretary (Rt hon David Miliband MP)

Overview: To provide support to the unit’s customers, in particular, Foreign and Commonwealth Office Personnel Security Team. This includes collating files for boarding exercises, checking clearances and handling day-to-day enquiries effectively.

Providing Personal Assistant support to the Head of Vetting records. Managing emails, audio typing notes, arranging meetings and writing minutes.
General support to Deputy Head of Unit including inputting of cases on the database, recording allocation of cases to Investigating Officers, completing applications for Palace of Westminster passes and drafting routine letters for signature.
Acting as the primary contact point for the unit by answering general queries from customers. 
Other Government Departments and agencies. 
Dispatching forms and information as necessary. 
Organising procurement and maintenance of office and IT equipment for the unit and maintaining sufficient levels of stationery.

Section Clerk to the Vetting Unit

Overview: Collated and filtered data on all medicines, various pharmaceutical companies wanted to import into the United Kingdom. This included data inputting codes of medicines on a central database and liaising with the clinical assessor closely. 

General administrative duties which included organising meeting rooms, minute taking and producing report summaries. 
Provide support to senior directors by covering the PA role during staff absences. 
Organised and maintained filing system for applications and various pharmaceutical certificates and correspondence. 
Liaised with team members, management and other departments. 
Worked with various IT systems including Microsoft Office.
