Plan and coordinate large scale special events: offsite annual investor meetings with global attendees, golf tournaments, holiday events, luncheons, and dinners
Work in conjunction with the onsite host or hotel staff to ensure the AV, production and meeting needs are properly set up and provided in a timely manner
Negotiate contracts with DMCs and hotel management
Take part in pre-conference meetings and work with staff to assure BEOs are accurately and promptly followed
Establish a communication channel with the DMC and team. Supervise and support the DMCs during any onsite or offsite activities and production/entertainment functions
Generate customized rooming list, reservations and transportation manifest
Work with concierge team to execute guest room amenity deliveries and VIP package deliveries in a timely manner
Accurately process and submit expenses in timely manner per company accounting policies.

Provide heavy calendar management and arrange high volume of meetings and conference calls
Organize and coordinate complex international and domestic travel arrangements, including preparing detailed itineraries for both business and personal travel (including private aviation)
Edit and assemble presentation materials for LP meetings, including 200+ page PowerPoint for annual meeting containing full portfolio company data
Safeguard executive’s confidential info: corporate/personal credit cards, personal banking and credit card statements, bills, healthcare benefits, social security, global entry, etc.
Maintain website updates, create mail merges and code investor communications for distribution
Maintain extensive contacts lists
Create and prepare marketing materials and news reprints
Schedule and provide technical set up of conference calls, video conferences, and web meetings
Filing, faxing, copying and other miscellaneous tasks as needed
Screen and direct busy stream of incoming calls and mail correspondence
Meet and greet guests, including liaise with visitors when needed
Manage corporate season football ticket distribution
Proficient in Excel, PowerPoint, Outlook, Word, Photoshop, Sitefinity, basic HTML
