I provided administrative support to the MindEd programme stage 5 development. 

Key Responsibilities

1.	Managing Project Materials

including:-
•	Sourcing and ordering printed promotional materials
•	Filing documentation in both electronic and physical formats
•	Distributing published materials as requested by the author
•	Maintaining the Programme filing systems
•	Arranging safe storage of all documentation
•	Sending acknowledgement letters, receipts, etc 


2.	Assisting with Financial Processes

•	Administering the finances relating to applications including:-
•	Checking payment receipts and finance documentation
•	Processing invoices for payment 
•	Processing expense claims for payment
•	Liaising with the Finance dept over any queries


3.	Assisting with Correspondence and Reports

•	Typing and reformatting, (ensuring consistent  house style)
•	Photocopying or arranging printing 
•	Drafting documents using agreed templates
•	Editing documents to reflect changes made
•	Preparing documents for review and publication under the supervision of the document author
•	Writing reports on projects, under the supervision of the Consortium lead, to inform committees and individuals internally with an interest in the progress of the projects


4.	Project Meetings

I worked to support the delivery of the MindEd stage 4, Combined Therapies curriculum. 

I also worked on the HEE Innovation project, a collaboration between MindEd, YoungMinds and ACAMH. This project is delivering face to face training and e-learning on CAMHS transformation. 

My work included: 
Setting up Stakeholder meetings
Setting up and minuting project and programme meetings
Circulating papers ahead of and after meetings

Programme Administrator for MindEd

MindEd is developing resources for parents on mental health in children .This  programme  is funded by the Department of Education, to enable parents to  better understand their children’s mental health needs and to navigate what services and support is available. 

My role within the programme included tasks such as;

Achieving recognition by the Information Standard
Managing the programme manager’s diary
Raising purchase orders and invoices and ensuring the budget is up to date
Ensuring the project tracker is up to date
Updating the MindEd and Disability Matters space on the RCPCH website 
Organising and servicing meetings, including taking minutes, circulating papers and booking rooms
Improving the search engine optimisation of the MindEd homepage and materials on patient.co.uk, 
Setting up IPR agreements with the professional and parent authors
Providing authors with links to approved resources, and suggesting amended session titles
Supporting stakeholder relationships
Circulating invitation to tender to media suppliers
Setting up a review cycle and scheduling the required changes to the technical review
Booking travel and accommodation and rooms for external meetings
Representing MindEd at the RCPCH Annual Conference

Programme administrator

Disability Matters will deliver 57 sessions of e-learning designed to effect attitudinal change towards disability within society. The programme has developed a collaborative approach to authoring, with each session having a lead author, a young person co-author and a parent co-author. This has enabled the sessions to include the voices and lived experiences of those affected by disability in their daily lives. 

My role within the programme was diverse and included tasks such as; 

o	Organising and servicing consortium mattings, including taking and disseminating detailed minutes
o	Co-ordinating the content delivery of the e-learning sessions
o	Creating and promoting a shared workspace for all contributors through Huddle
o	Setting up IPR agreements with all authors and parent co-authors
o	Managing and co-ordinating stakeholder relationships
o	Administering permissions on media assets
o	Briefing a designer to format images for the website
o	Reporting progress to internal stakeholders
o	Volunteering to be a social media champion for the programme
o	Creating and designing business cards for the team
o	Making a contribution to the e-newsletter
o	Co-ordinating payment of author honorariums

I took greater responsibility for co-ordinating stage 2 of the programme. In stage 1 the content delivery had been slower than the agreed timelines and the parent co-authors had found the process confusing. I managed the relationships between the authors, parent authors and young people, prompting each for their contribution and sharing content for review at each step. This meant that our expectations were clear and the time-frames controlled. The stage 2 process was much smoother and parents reported that they had been much happier. In addition to this we delivered the sessions plans and reviews to the instructional designers by the agreed deadline.

I provided administrative support included filing, shredding, collating papers, and arranging for the storage of confidential documents. I also assisted with an office move, which required care due to the confidential nature of information being handled. In addition to this I provided holiday cover for the director’s assistant, which included managing his diary, preparing papers and rooms for meetings and booking travel and accommodation for the directors.

I oversaw the running of the Support Service, and line managed two support workers who I trained to do the job. I developed a system of performance management and proposed measures to increase staff safety whilst doing lone outreach work. 

I supported service users to get Direct Payments (Direct Payments is when people who are eligible for community care services can receive money in lieu of a Direct Service either by employing someone directly or purchasing support from an agency). This included completing the paperwork required by Social Services, designing a job description, opening a bank account, recruiting staff if necessary, and creating a back up plan for staff sickness. I supported service users to be good and legal employers and to complete financial monitoring as required by Social Services. Service users were people with physical disabilities, sensory impairments, people with HIV, children with disabilities, adults with learning disabilities, older people, and mental health service users.

Direct Payments Support Service Co-ordinator

I was responsible for ensuring the smooth running of the centre and its many services. This including being the first point of contact both over the phone and for people dropping into the centre. I oversaw some of the services, including the massage project, an ESOL class for which I gained funding, and a yoga class which I set up. I also booked appointments for various services, such as the nurse, counselling and development workshops. 

I managed volunteers, enabling them to gain work experience and increase their confidence. This included teaching them how to use various software and giving them responsibility for their own tasks. I was responsible for collating and designing the Annual Report each year, and chasing people for their entries. I produced and disseminated publicity material, and ensured that we carried out publicity activities on a quarterly basis. I also collated evaluation and monitoring figures to be submitted to our funders.

West Hampstead Women's Centre

Office Manager

My role was to provide people with advice and information around opening bank accounts into which to get their benefits paid. I started by contacting organisations with which to form partnerships. These partnerships involved me meeting their clients and providing advice and support at their premises. I worked with a diverse range of clients, including street homeless, pensioners, and job seekers in locations such as job centres, lunch clubs, drop-in centres and at the Big Issue. 

This project was funded by the DWP who gave us targets for the number of 'informed choice discussions' we had with people regarding opening accounts. Following these discussions we would then give these people as much support as was needed to open an account.

Project Worker

My job was to support people starting on Direct Payments as a method of receiving community care. The client groups I supported included; people with physical disabilities, sensory impairments, living with HIV, parents of disabled children and people with learning disabilities. 

I supported them to write contracts, set up payroll agreements, liability insurance and contingency plans. I would also advise people on recruitment and employment and support them with interviews if required. Once they were receiving Direct Payments I would help them to complete quarterly financial monitoring. 

I created start-up materials in a variety of formats, in order to make them accessible to visually impaired clients and those with learning disabilities. My work involved liaising with care managers, other support organisations and Social Services.

Direct Payments Support Worker

My role was to oversee the day to day running of the office. This included acting as first point of contact both in the office and over the phone, keeping up magazine subscriptions, developing a database and a filing system, and ensuring the office was a nice place for clients to visit. 

I also had responsibility for diary management and organising travel arrangements.  I would send information about events out to the press, and had an involvement in supporting client management. I was involved in drafting and proofreading proposals and also in researching new opportunities.
