New Business Assistant

Prepare and take requirement briefs for all events requested for the conference and hospitality floor including:

o Internal meetings
o External meetings 
o Fine Dinning
o Conferences
o Events
o Exhibitions

Assisting the Head of Hospitality and Events directly, I determine and co-ordinate for all events the following requirements if requested:

o Food and beverages
o Audiovisual requirements
o Room configurations
o Event facilities i.e. staging/special requirements 
o Event staff
o Cleaning services
o Maintenance services
o Security requirements
o Transportation

Actively manage all the bookings for various facilities to ensure an efficient and effective service provision.

Raise purchase orders and administer all accounts, for all services provided by the hospitality floor and cross charge to the relevant hosting department.

Provide Receptionist and telephonist duties for all events.

Monitor and manage the various support service contractors.

Collate weekly reports from the hospitality floor team and produce a Senior Executive weekly report.

Prepare feedback reports on events and instigate continuous improvement methods.

Provide administration assistance to all events.

Administer a team diary management system.

Provide general welfare support to the hospitality floor team.

General administrative duties including taking messages, finding the appropriate team member to deal with incidents and issues, document creation and report writing for the team, key contacts are kept up to date, emergency documents are updated monthly.

Undertake service level management and audits on a daily basis providing continuous improvements cycles.

Responsible of the Co-ordination of evacuation management for the floor.

Arrange emergency call-out back-up for FM team requirements.

My average day consists of meeting and greeting clients from all walks of life (including some of an extremely high profile), keeping on top of a busy switchboard, dealing with meeting room bookings/requests, providing different room set up's for a huge range of meeting requirements, ordering lunch/refreshments and delivering to meetings, stationary supply ordering, booking courier's and taxi’s, assisting PA’s in heavy workloads, dealing with maintenance workers, reporting faults and dealing with onsite contractors.
