In this role I supported the Faculty Board, panels and partners in line with the governance requirements to ensure the delivery of a professionally credible professional recognition scheme for members. I provided administrative and organisational support to the internal and external stakeholders.My main responsibility was to manage the work of the Faculty Board and three quality assurance panels, this included arranging meetings, providing communications, reports, minutes and agendas. The support was done virtually as the majority of members were not based in London.I was responsible for ensuring that the meetings and briefings were arranged in good time. In order to facilitate busy diaries, I developed a rolling annual calendar, taken into account the RPS other priorities, and arranged meetings a year in advance.I liaised with finance monthly regarding the Faculty budget and was responsible for reporting on the performance against this. As part of this role I was involved with setting the annual budget for the Faculty, referring to similar projects the RPS had undertaken to ensure this was accurate.I managed and co-ordinated the recruitment of the Faculty panels, Board and working groups, overseeing the recruitment processes and induction for members ensuring that good governance was followed. I was closely involved with the creation of the governance handbook and partnership agreements, and ensured these were updated in keeping with the principles of good governance.I continued to build on relationships with internal and external stakeholders in order to ensure effective delivery of services. I provided regular updates on the Faculty, both as newsletters and in response to inquiries.I set up administrative processes for the Faculty, having these signed off by the Director and senior colleagues. I prioritised requests, dealt with correspondence, telephone calls, took messages and sent responses on behalf of the Director and teams, researched through databases to ensure that the information I provided was accurate. I proactively managed the Director’s diary to ensure efficient workload planning and meetings management. I was involved with the implementation and maintenance of the internal Infopoint site. I monitored Key Performance Indicators, highlighting issues and preparing reports on both, for the management and governance of the RPS. I coordinated the budgetary processes for the six budgets within the Directorate, assisting with preparing the annual budgets, monitoring travel expenses, invoices and spend across the Directorate. I checked the monthly accounts received from finance to ensure that costs had been allocated correctly. I set up, managed and maintained the Directorates database, providing and circulating information to enquiries. I was responsible for ensuring that Stakeholders were updated on activities, and that their views and comments were circulated to the relevant parties. This included inputting into the ‘Map of Evidence,’ an online tool which showcases good pharmacy practice and innovationI had responsibility to monitor the member status of stakeholders involved with the Directorate, on the occasions when membership has lapsed I contacted the individual, in confidence, about how I could support them to return to the membership.

I administered the induction process for new Presidents, ensuring they and other Assembly members were aware of office procedures and other necessary information. I assisted in the development of the Governance arrangements for the RPS, including the development of the Governance Handbook adopted by the Assembly.In this role I provided administrative support to the President of the Society. As part of my role I maintained relationships with internal and external stakeholders in order to ensure effective delivery of services. I acted as Secretary to the Panel of Fellows. I was involved with all aspects of the nominations, and put in place the nomination form which addressed the concern that the nominations received by the Panel did not include the relevant information for a decision to be made. As part of my role, I was the only staff member to attend meetings, this was due to the highly confidential nature of the discussions, where I had responsibility to highlight areas that I felt the RPS should be aware of and where input into discussions was required made arrangements for staff to be available.

PA to the President

In this role I managed the diary for the Chief Executive of the Society, arranging meetings, refreshments, briefings and room reservations. I arranged travel itineraries, including details of transport and hotel accommodation. My day to day job included sorting the mail, deciding which should be brought to the attention of the CE&R and which should be dealt with elsewhere in the organisation. I liaised with colleagues on behalf of the CE&R via email, telephone and in person. I dealt with hotel bookings for the Council, ensuring that rooms were booked in good time.

My role in this organisation was to liaise with the Service Director to ensure that the office and financial systems ran smoothly. This role involved dealing with all staff issues, both personal and professional, taking minutes for staff meetings and other professionals. I was responsible for all staff salaries and instigated a direct payment system (BACS). I dealt with other financial matters including assisting the Director with confidential tenders to Primary Care Trusts, approval and payment of invoices, and arranging banking. Additionally I dealt directly with the public and other professionals (Doctors, Social Workers, Police, Local Authority employees, Solicitors) both over the phone and where appropriate in person.

I made referrals for clients when for a particular reason they were unable to make a second phone call.
