My primary focus was initially issuing both full and part time faculty contracts throughout the year, following up on them for payroll processing and reporting on these while also assisting a busy Vice President for Finance and Administration with meeting calendaring, agenda packets, typing up letters, memos and RFP’s and making revisions, besides screening calls as necessary, obtaining certificates of insurance, issuing colored paper requested and posting to appropriate department budget, van usage authorizations, maintaining and stocking both building copier and fax machines, ordering supplies, maintaining and updating campus directories, issuing publication on campus map and parking policies, mail distribution, relief for President’s Executive Assistant when on vacation, and being one of the annual birthday planners.  My more recent job responsibilities are to train and assist the new HR Director in regards to the following: new hire paperwork and packets, setting up employee personnel files and establishing these in the ADP payroll system; time accrual system adjustment entries; entering wage garnishments and payroll deductions; benefits administration and payments, plus resolving any issues involved; recruitment - placing job ads, paying said invoices and electronically filing all candidate information in database I maintain or filing hard copies and sending acknowledgments; employment verifications; Cobra payments tracking; overall employee relations for 150+ staff.

This is a property management company that manages twenty associations.  I assisted two managers with a caseload of five associations each.  My primary role was to field maintenance issue complaints, ranging from irrigation; landscape; lighting; building; mailbox; roofing; repairs; etc. and issuing the appropriate work order to established vendors that included the likes of landscapers and contractors, entering the relevant data in the system until completion.  We also issued violation letters to homeowners who did not adhere to the Architectural Guidelines; Bylaws; Rules and Regulations; Covenants, Conditions and Rules established for the respective association and mailing these out as necessary until resolution.  These associations usually held monthly Board meetings and I assisted the managers in preparing the agenda packages and sending these out to the respective Board members, as well as posting meeting notices.  I handled yearly mass mailing distribution of budgets and audits for all my caseload.  I did relief reception, greeted clients and vendors while manning the phones, paging the appropriate individual.  I operated and troubleshot the office equipment, such as copiers, fax machine, scanner and postage meter, as needed.  Other duties entailed filing, researching, contract writing, phone conferencing and Spanish translation when necessary.

This is an ergonomic office furniture dealership with an established clientele base such as Kaiser, PG&amp;, Charles Schwab, among others.  I assisted two busy managers in placing orders for these clients as requested and tracking them until delivery with the respective product vendors, as well as with the freight and delivery/installation companies.  I did relief reception along with my other regular duties of filing, order status reporting, invoicing and collections, resolving any billing issues as deemed necessary.

Project Sales Coordinator

This is a non-profit organization, providing an umbrella for over 250+ other non-profit organizations throughout the country.  My primary focus was recruiting for the company and being liaison to prospective job candidates, especially during critical turnover phases that might include up to fifteen vacancies at a time, outreaching to other organizations, newspaper agencies, Internet websites and employment agencies as required.  I tracked all resumes received in a database.  I also assisted two very busy managers - the Human Resources Director and the Director of External Relations (formerly known as the Director of Operations) in scheduling meetings, phone conferences, and training presentations, making travel arrangements along with hotel reservations and preparing corresponding itineraries, greeting their guests and visitors, making all necessary arrangements for management retreats and scheduling appropriate facilities and/or conference rooms; assist Benefits Coordinator with new employee packet preparation and ensuring paperwork was returned in a timely fashion, entering information into the payroll system database.  Other duties included relief reception; ordering pertinent departmental supplies and subscriptions, coding them to the appropriate budget accounts; making copies and faxing documents; filing confidential personnel, worker's compensation and family leave paperwork; incoming mail distribution and mail outs; follow through on employee Human Resources requests of any nature and reporting; revising job descriptions, publications, new hire orientation presentation and employee handbook materials and sending these out for copying for on hand supply; oversee and coordinate the monthly birthday party celebration; and participate in/plan for diversity activities, as well as being a Safety Committee member.
